Responsibilities:
Administrative Support:
Manage executive’s calendars, including scheduling and organizing meetings, appointments, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Maintain an efficient filing system, both digital and physical, for important company documents.
Communication and Coordination:
Serve as the primary point of contact between the executive team and internal/external stakeholders.
Coordinate and liaise with other departments and team members to ensure effective communication and collaboration.
Screen and direct phone calls and emails to the appropriate parties.
Meeting Support:
Prepare meeting agendas, attend meetings, take minutes, and distribute them.
Ensure all necessary resources and materials are available for meetings, presentations, and conferences.
Assist in the execution of special projects and events.
Travel and Expense Management:
Book and manage travel arrangements, including flights, accommodation, and transportation.
Handle expense reporting, tracking, and reimbursement for the executive team.
Information Management:
Research, compile, and summarize information as requested by the executive team.
Maintain confidentiality of sensitive information and data.
Task Prioritization:
Assist in time management, ensuring that the executive’s time is allocated effectively.
Prioritize tasks and requests to optimize productivity.
Miscellaneous Tasks:
Perform ad-hoc duties and special projects as assigned by the executive team.
Qualifications:
Bachelor’s degree or equivalent experience preferred.
Proven experience as an executive assistant or in a similar administrative role.
Excellent organizational and time-management skills.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Exceptional verbal and written communication skills.
Strong problem-solving abilities and attention to detail.
Ability to work in a fast-paced environment with a high degree of professionalism and discretion.
