As a Group Coordinator you will work closely with the disciplines to provide administrative support to the Dubai office. Primarily to the discipline Group Directors, but also to the wider team of Project Directors.

What Will You Be Doing …
Supporting New Starters: – induction, equipment, run through new starter information and be the Welcome Coordinator for 1st-day arrangements where applicable
Working with Health and Safety to ensure procedural compliance within the Group
Typing, formatting, reviewing and modifying correspondence and documents prepared by the technical staff – ensuring the Brand guidelines are followed
Conducting Project Office checks – highlighting areas of concern to Project Directors
Prompt Engineers to complete their weekly timesheets
Creating regular team presentations for office communications and team meetings
Coordinating Multi-Discipline reports – highlighting deadlines, template usage and set-up, etc. Where possible, attend initial meetings with key collaborators – highlighting template needs/ requirements.
Arranging, attending, and taking minutes, including follow-up action points for internal group and client meetings for the engineering teams where applicable
Arranging discipline team away days/events, including organising CPDs
Update and maintain Buro Happold’s Internal SharePoint pages “Magellan” for teams
Coordinating Multi-Discipline reports, liaising with key collaborators and support with project submissions within applicable templates and systems.
Support in Document management (Acconex, etc), photocopying, bindings and Intermittent printing drawings (Plotter) as required
Support ongoing initiatives: Gathering and sourcing external/internal information as needed, providing an administrative link with Global disciplines, supporting with preparation and issuance of service contracts to sub-consultants

Group Leader Assistance
Coordinate and arrange Career Path Objective meetings for the team – twice a year
Training Engineers in the use of the company systems/ Buro Happold Templates
Liaison with L&D for the implementation of courses, events etc
Commitment to self-learning/development
Provide general administrative support to the Group leadership as time permits

Ensure adherence to the administration side of our QMS
Ensure that common systems and templates are set up and that any problems are communicated to IT Support

What will you bring?
Relevant qualification or working toward a relevant qualification
Proven experience in a comparable role demonstrating a solid foundation in administrative support
Strong team player capability, Proven ability to effectively prioritise workflow
Effective communication in English
Understanding of relevant policy and regulation

Excellent IT skills and proficient user of:
MS365 suite of applications, databases,
MS Teams
Working knowledge of InDesign, Photoshop and Illustrator

Experience in:
Setting up and maintaining administrative procedures and quality management systems
Maintaining quality management systems
Supporting a team of people as well as working on a one-to-one basis.

Desirable skills
Additional language skills
Knowledge of ACONEX or any other document management systems
