We are looking for a Receptionist cum Admin Executive to undertake receptionist and clerical duties at the desk of office entrance and also look after overall administrative requirements of the office.

The ideal candidate needs to have a pleasing personality while also being disciplined and resourceful. Excellent communication skills are required while interacting with customers, employees, and vendors. He/ She should be able to work independently and deal with complaints and provide timely assistance. An individual with a sense of ownership and customer-oriented approach is essential.

Job Responsibilities

Greet and welcome guests, answer questions and address complaints.
Answer all incoming calls and redirect them or keep message.
Receive letters, packages etc. and distributing them.
Prepare outgoing mail and parcels for dispatch.
Monitor office supplies and place orders when necessary.
Management of all basic pantry items.
Management and ensuring functionality of all office items.
Monitoring daily cleaning & plants maintenance.
Keep updated records and files.
Updating ext. & mobile list of the employees.
Assistance in seat allocation to HR.
Assistance in arranging interview with the concerned department/HR.
Place monthly printing stationery and housekeeping order.
Compilation of vendor bills and submission to finance on time.
Monitoring vendors agreements.
Managing administrative requirements for meeting rooms.
Assisting HR in planning & preparation of meetings, events, conferences and festivities


Functional Skills

Proven experience as front desk/ admin executive or relevant position.
Knowledge of office management and basic bookkeeping.
Proficient in English (oral and written).
Excellent knowledge of MS Office (especially Excel and Word).
Strong communication and people skills.
Good organizational and multi-tasking abilities.
Familiarity with office machines (e.g. printer etc.)
Problem-solving skills. Customer service orientation.
Networking & Negotiations skills.
Event Management.
Exposure to Facility Management
